A University Visitor Management System (VMS) is a system designed to streamline and manage the process of visitors (e.g., prospective students, parents, recruiters, guests, etc.) coming to the university. The system ensures proper registration, security, and communication while improving operational efficiency.
Visitor Registration and Check-In
This service allows visitors to register upon arrival at the university. Visitors may register in advance online or at the reception desk upon arrival.
Host Notification and Approval
When a visitor arrives and checks in, the system sends an automated notification to the person they are meeting (the "host").
Visitor Badge Creation and Access Control
Once a visitor is registered and approved by the host, a visitor badge is issued, which typically includes their name, photo, and the purpose of the visit.
Visitor Tracking and Reporting
The system can track visitors in real-time, recording entry and exit times, areas visited, and interactions with university staff.
